Google files (Google Drive)
In brief
With Google files, your assistant finds and reads your documents in Google Drive: your personal space (“My Drive”) and the team's shared drives. Depending on the rights given, it can also upload a file, create a folder or share a document with the colleagues on the case.
Two steps:
- A Mitogen workspace admin opens Google files and chooses the useful drives.
- Each person connects their Google account, in Connections.
Key points:
- Google Workspace accounts and @gmail.com accounts are accepted.
- Files stay at Google. The assistant only sees what the signed-in person can see.
- The assistant never deletes a file permanently: at most, it moves it to the Google Drive trash, where you can restore it.
Before you start
| What you need | Why | How to check |
|---|---|---|
| A Google account that sees the useful drives | You choose the drives to open with this account. | Open drive.google.com ↗: shared drives appear in the left column. |
| If your company uses Google Workspace: Mitogen allowed | A Google Workspace administrator can block or limit third-party apps. | See Control which apps access Google Workspace data ↗. |
| You are an admin or the owner of the Mitogen workspace | Only they can open a tool for the team. | You can open Modules. |
Are you a team member? Go straight to Connect my account.
Open Google files for the team
- Open Modules:
https://mitogen.ai/console/modules. - On the Google files card, click Open. A short introduction appears: “Google files, in Mitogen”.
- Click Open Google files. The window keeps the title Open Google files. The steps: Google account · Drives · Access. There is no Name step: each drive keeps its Google name.
Not ready yet? Later closes the window without creating anything.
The Help ↗ link at the bottom of the window opens the section of this page for the step on screen. If you close before the end, the card shows To finish and Resume takes you back where you were.
Step · Google account
On screen: the title “Connect your Google account”, the help “Mitogen shows the drives this account sees. Nothing is opened to the team before you choose.” and the button Sign in to Google ↗.
- Click Sign in to Google. Google opens.
- Choose the Google account that sees the drives to open to the team.
- Google shows the access Mitogen requests. Read it, then accept.
- You come back to Mitogen, at the Drives step.
If the sign-in fails: “Google sign-in was interrupted. Try again.”
What Mitogen asks Google for: access to Google Drive, on behalf of the signed-in person, and your email address to know who is signed in. Mitogen always acts with that person's rights.
To use another Google account, go back with Back and start again: Google lets you choose the account.
Step · Drives
On screen: the title “Which drives to open?”
- The line “Signed in as” followed by the address of the account used.
- One card to check per drive: the personal drive (My Drive), then each shared drive this account sees, with its Google name.
- Buttons Open 2 drives (or Open this drive if there is only one), Back and Cancel.
- Check the useful drives. My Drive stands for the personal drive of each person who will connect, not only yours.
- Click Open 2 drives.
Each checked drive becomes a separate binding: it gets its own block at the Access step.
If no card appears: “This account sees no drive. Try another Google account.” This means the account sees no shared drive and My Drive is already open. Try another account.
Ten bindings at most: beyond that, “You already have ten bindings. Remove one before adding another.”
Step · Access
Here you choose who can use Google files, and what the assistant may do there for each person. This screen is the same for every tool.
On screen: the line “Give access” and the help “Each person gets an email and connects their own Google account.”
- One block per drive opened at the previous step, titled with the drive's name (for example “My Drive” and “Sales”). Each drive is a separate binding: you choose people and their rights drive by drive.
- In each block, the members of the workspace, with a checkbox per person. You appear as You, already checked.
- On each checked row, the five rights. Read is on and locked. Create, Modify, Delete and Send are set for that person. For Google files, Send has no effect (see Rights).
- Buttons Give access and Later.
What you do
- In each block, check the people who need it.
- For each person, turn on the rights they need. What each right allows in Google files: see Rights.
- You can uncheck You as soon as someone else is checked in the same block.
- Click Give access.
While a block has nobody, Give access stays greyed out and a line below it reads “Add at least one person to Sales.”
Next
The screen confirms “The team can now use Google files.”, then “2 people will receive an email.” If there is only one: “1 person will receive an email.”. Click Done.
If the email could not be sent, the screen shows “Access is saved. The message was not sent. Copy the Connections link.” Copy the link offered and send it to your colleagues yourself.
If you click Later, everything so far is saved, but nobody has access. The card shows To finish with the line “Access to grant”. Resume brings you back to this step.
You can change rights at any time afterwards, in Team › Connection rights (see Rights).
Connect my account
- Open Connections:
https://mitogen.ai/console/connections. - Under Google files, on each drive opened for you, click Connect my account on Sales.
- Google opens: choose your account and accept the access requested.
- Back in Mitogen, your account appears under the drive.
For a shared drive, your account must be a member of it in Google Drive.
Rights
Rights are set per person and per binding (so per drive).
Common rules
- Read comes with access. It is locked and cannot be removed.
- Create, Modify, Delete and Send are set person by person: at the Access step, then at any time. Only a workspace admin or the owner sets them.
- You need the right in Mitogen and the right in Google Drive for the signed-in account. For example, in a shared drive where you are a “Viewer”, the assistant cannot upload anything, even with the Create right.
- Removing a person's access also cuts their connections on this binding.
Here, Send is of no use: Mitogen does not send files through Google Drive. To share a document, the Modify right is what counts. If you turn on Send, any send request will be refused.
| Right | What it allows | What it does not allow |
|---|---|---|
| Read | Search, browse and read files and folders. Files in the trash are never shown. | Change anything. |
| Create | Create a folder. Upload a file (250 MB at most). | |
| Modify | Replace, rename or move a file. Share a file with the members of the Mitogen case. | Create a public link or one open to the whole domain. Comment. |
| Delete | Move a file to the Google Drive trash. It can be restored from the trash, under Google's rules. | Delete permanently, empty the trash, remove a folder. |
| Send | Nothing for this tool. |
Where to set rights: at the Access step when you open the tool, then at any time in Team › Connection rights.
If something blocks
| What you see | Most likely cause | What to do |
|---|---|---|
| Google says the app is blocked by your organization | Your Google Workspace administrator limits third-party apps. | They can allow Mitogen in the Google Admin console: Menu › Security › Access and data control › API controls (Google docs ↗). They need the “Service Settings” admin privilege. |
| “Google sign-in was interrupted. Try again.” | The Google sign-in was interrupted. | Click Sign in to Google again. |
| “This account sees no drive. Try another Google account.” | This account sees no drive to add. | Use an account that is a member of the shared drives. |
| A shared drive is missing from the list | The account used is not a member. | Add it to the shared drive in Google Drive, or use another account. |
| The assistant cannot upload a file | Create right missing in Mitogen, or role too low in the drive. | Check both. |
| A file has disappeared | It may have been moved to the trash. | Open the Google Drive trash to restore it. |
Remove access
- A person: Connections › Revoke this account.
- An admin, for one person: the drive's sheet › Access section › remove the person. Their connections on this drive are revoked.
- An admin, for one drive: the drive's sheet › Remove binding.
- On the Google side, each person: open the third-party connections page of your Google account ↗, select Mitogen and remove its access (Google help ↗).
- On the Google side, for the whole organization (Google Workspace administrator): Menu › Security › Access and data control › API controls, then block Mitogen.
Files stay in Google Drive. Nothing is deleted when you remove access.

Do I need a Google Workspace account?
No. A @gmail.com account works too.
Why is there no Name step?
Each drive keeps its Google name. Your colleagues recognize it right away.
