# Teams

## In brief {#summary}

With Teams, your assistant reads **the transcript of a Teams meeting** from its link, and files it in the right case. It can then turn it into a summary, a list of decisions or tasks in another tool.

What Teams does not do with Mitogen: write in Teams, read chats or channels.

Two steps:

1. **A Mitogen workspace admin opens Teams for the team**, on the company's Microsoft organization. If the Microsoft agreement was already given for Outlook or Microsoft files, there is nothing to redo.
2. **Each person connects their work Microsoft account**, in Connections.

## Before you start {#before}

| What you need | Why | How to check |
|---|---|---|
| Microsoft 365 with Teams and work accounts | Mitogen reads the meetings of your Microsoft organization. | You use Teams with your work address. |
| Transcription turned on in Teams | Without a transcript, there is nothing to read. | Your Teams administrator allows it in the meeting policies: see [Transcription and captions](https://learn.microsoft.com/en-us/microsoftteams/meeting-transcription-captions). |
| Transcribed meetings | Transcription is started during the meeting. | See [Start live transcription](https://support.microsoft.com/en-us/teams/meetings/start-stop-and-download-live-transcripts-in-microsoft-teams-meetings). |
| The first time: an administrator of your Microsoft organization | The agreement for the whole organization can only be given by an administrator who has that power. | See [who can give this agreement](https://learn.microsoft.com/en-us/entra/identity/enterprise-apps/grant-admin-consent) and [the admin roles](https://learn.microsoft.com/en-us/microsoft-365/admin/add-users/about-admin-roles). |
| You are an admin or the owner of the Mitogen workspace | Only they can open a tool for the team. | You can open **Modules**. |

> **Are you a team member?** Go straight to [Connect my account](#connect).

## Open Teams for the team {#open}

1. Open **Modules**: `https://mitogen.ai/console/modules`.
2. On the **Teams** card, click **Open**. A short introduction appears: “Teams, with your assistant”.
3. Click **Open Teams**. The window keeps the title **Open Teams**. The steps depend on your situation:
   - Microsoft organization already authorized (for example for Outlook): **Organization · Name · Access**;
   - first organization of the workspace: **Agreement · Name · Access**;
   - one more, new organization: **Organization · Agreement · Name · Access**.

Not ready yet? **Later** closes the window without creating anything.

The **Help ↗** link at the bottom of the window opens the section of this page for the step on screen. If you close before the end, the card shows **To finish** and **Resume** takes you back where you were.

### Step · Organization {#organization}

- The title “Which Microsoft organization?”.
- One card per organization already authorized on the workspace (“Already authorized on this workspace”), and a last card **Another organization**.
- A greyed-out card “Already open for Teams.” shows that Teams is already open on that organization.
- Buttons **Continue** and **Cancel**.

Choose your organization, then **Continue**: **no new agreement is needed**. Otherwise, choose **Another organization**: the Agreement step is added.

### Step · Agreement {#consent}

An administrator of your Microsoft organization authorizes Mitogen, **once for the workspace**. The screen says so: “A Microsoft 365 administrator gives the agreement once. It also covers Outlook and Microsoft files.”

1. Field **Organization name** (optional), example “E.g. Smith Workshop”.
2. Click **Open Microsoft**. A Microsoft tab opens.
3. Sign in with the account of an administrator of your Microsoft organization who can give an agreement for the whole organization.
4. Read the permissions requested, then accept them.
5. Come back to Mitogen and click **I finished**. Closed the tab too early? **Reopen Microsoft**.

**What Mitogen asks for Teams**: **delegated** permissions only, read-only: read online meetings and their transcripts, on behalf of the signed-in person. No permission to write in Teams.

The possible messages (agreement not arrived yet, refused, organization already authorized, Microsoft not responding) are explained on the [Outlook](/en/tools/outlook#consent) page. They are the same.

### Step · Name {#name}

Field **Display name**, prefilled with “Teams”. Keep it or make it more specific, for example “Teams Management”. Click **Save**.

### Step · Access {#access}

Here you choose who can use Teams, and what the assistant may do there for each person. This screen is the same for every tool.

**On screen**: the line “Give access” and the help “Each person gets an email and connects their work account.”

- One block for this Teams binding, titled with its name (for example “Teams Management”).
- In each block, the members of the workspace, with a checkbox per person. You appear as **You**, already checked.
- On each checked row, the five rights. **Read** is on and locked. **Create**, **Modify**, **Delete** and **Send** are set for that person. For Teams, only Read has an effect (see [Rights](#rights)).
- Buttons **Give access** and **Later**.

**What you do**

1. In each block, check the people who need it.
2. For each person, turn on the rights they need. What each right allows in Teams: see [Rights](#rights).
3. You can uncheck **You** as soon as someone else is checked in the same block.
4. Click **Give access**.

While a block has nobody, **Give access** stays greyed out and a line below it reads “Add at least one person to Teams Management.”

**Next**

The screen confirms “The team can now use Teams.”, then “2 people will receive an email.” If there is only one: “1 person will receive an email.”. Click **Done**.

If the email could not be sent, the screen shows “Access is saved. The message was not sent. Copy the Connections link.” Copy the link offered and send it to your colleagues yourself.

**If you click Later**, everything so far is saved, but nobody has access. The card shows **To finish** with the line “Access to grant”. **Resume** brings you back to this step.

You can change rights at any time afterwards, in **Team › Connection rights** (see [Rights](#rights)).

## Connect my account {#connect}

1. Open **Connections**: `https://mitogen.ai/console/connections`.
2. Under **Teams**, click **Connect my account**.
3. Sign in at Microsoft with your work address, and accept if Microsoft asks.
4. Back in Mitogen, your account appears under the binding.

**Then, in the conversation with your assistant**, paste the Teams meeting join link, the one from the invitation (it contains `teams.microsoft.com/l/meetup-join`). The assistant reads the latest transcript of that meeting.

If your account does not belong to the linked organization, Microsoft or Mitogen refuses it: sign in again with the right address.

## Rights {#rights}

Rights are set **per person and per binding**.

**Common rules**

- **Read** comes with access. It is locked and cannot be removed.
- The other four rights are set person by person, at the [Access](#access) step, then at any time. Only a workspace admin or the owner sets them.
- You need the right in Mitogen **and** the right in Microsoft: the assistant only reads what the signed-in person can read in Teams.
- Removing a person's access also cuts their connections on this binding.

**For Teams, only Read is of use.** The five rights are shown as everywhere, but Mitogen cannot write anything in Teams. If you turn on Create, Modify, Delete or Send, any matching request will be refused.

| Right | What it allows in Teams |
|---|---|
| **Read** | Read a meeting from its link, and its latest transcript. File it in a case. |
| **Create** | Nothing. No creation is possible in Teams. |
| **Modify** | Nothing. |
| **Delete** | Nothing. |
| **Send** | Nothing. The assistant never posts in Teams. |

What the assistant cannot do, whatever the right: search through all your meetings (it needs the link), read or write in chats and channels.

**Where to set rights**: at the [Access](#access) step when you open the tool, then at any time in **Team › Connection rights**.

## If something blocks {#troubleshooting}

| What you see | Most likely cause | What to do |
|---|---|---|
| The assistant finds no transcript | The meeting was not transcribed, or transcription is turned off. | Start transcription at the next meeting. If the option is missing, ask your Teams administrator ([docs](https://learn.microsoft.com/en-us/microsoftteams/meeting-transcription-captions)). |
| The assistant cannot find “Tuesday's meeting” | Searching for meetings is not possible. | Paste the meeting link. |
| The assistant has no access to this meeting | Your account cannot read this transcript in Teams. | Ask the meeting organizer. |
| Microsoft says administrator approval is needed | The agreement was not given for the organization. | See [Microsoft agreement](#consent). |
| **Reconnect** | The Microsoft session was closed. | **Reconnect** in Connections. |

## Remove access {#revoke}

1. **A person**: **Connections** › **Revoke this account**.
2. **An admin, for one person**: binding sheet › **Access** section › remove the person. Their connections on this binding are revoked.
3. **An admin, for the whole binding**: binding sheet › **Remove binding**.
4. **On the Microsoft side**: same paths as for Outlook, see [Outlook › Remove access](/en/tools/outlook#revoke). Note: the agreement is shared by Outlook, Teams and Microsoft files.

Transcripts already filed in a case stay there.

## FAQ {#faq}

**Can the assistant write in Teams?**
No. It only reads meeting transcripts.

**Does the assistant record my meetings?**
No. It reads a transcript Teams has already produced.

**Do I need to give the Microsoft agreement again if Outlook is already open?**
No. Choose the same organization at the Organization step.

**Why show Create, Modify, Delete and Send if nothing is possible?**
So the rights screen is the same for every tool. For Teams, these rights have no effect.
